Green Security is an associate credentialing portal, allowing clearance via Novant Health Systems.
It was brought to our attention the SC tax forms were missing from the onboarding experience in iCIMS. While UKG does look for your home address and apply appropriate taxes in the system automatically, it’s important to review your details to ensure accuracy before your first payroll hits. PT Solutions has included a walk-thru guide for reviewing and correcting your taxes in UKG.

UKG has a portal called “People Assist” that contains a collection of knowledge articles. People Assist is maintained by the HR and payroll teams and includes everything from how to change your Direct Deposit, updating your personal information, to common benefits question.
While PT Solutions aimed to pull your information as accurately as possible to the new system, we do not assume everything is 100% accurate. We ask that all new employees review their personal data for best accuracy. This includes your contact information, date of birth, tax setup, direct deposit, etc.

If you are unable to get into UKG, please look for your Welcome Email from the IT team or contact support@ptsolutions.com to have your email account reset.

If the problem persists, please email benefits@ptsolutions.com to assist in resetting your benefits account.
Your current benefits (including 401(k) Plan) will remain in place through 1/30/2025 with no changes to current plans or payroll deductions. You will continue to have deductions withheld for benefit premiums/401(k) deferrals through your current payroll system as you do now through your last payroll.
Our Benefits Assistance Center will be available before and during your enrollment period, and at any time in the future for your benefits questions (see contact information under question 8).
During the enrollment period, you will also have access to one-on-one appointments with our enrollment partner, IBTR. IBTR is available to provide support for benefits and enrollment-related questions, and can submit your elections in the UKG/PlanSource system for you, if you choose.

Employees enroll online via the UKG/PlanSource system for annual open enrollment, and for any ongoing qualified life event changes that occur throughout the year.
Full details and credentials to access the enrollment system will be provided in December, prior to the December 11 – 20 benefits enrollment period.
The PT Solutions Fidelity 401(k) Plan provides immediate eligibility. Further information and separate enrollment instructions will be forthcoming from Fidelity to your PT Solutions email the first week of February.
The PT Solutions 401(k) Plan provides for a discretionary Company Match Contribution, which is carefully considered on an annual basis and announced each year. For 2025, PT Solutions match is 50% on first 6% of your payroll contribution, to a max of $600. The difference in current OrthoCarolina and PTS employer contribution(s) will be paid as outlined in your transition letter’s individual compensation attachment.
Your benefits will transition to the PT Solutions’ benefit plans effective 1/31/2025, with anticipated enrollment period Wednesday, December 11 – Friday, December 20. Employees enroll online via the UKG / PlanSource system for new hire enrollment, annual open enrollment, and for any ongoing qualified life event changes that occur throughout the year.
Full details and credentials to access the enrollment system will be provided prior to the 12/11 benefits enrollment period.
1:1 appointments will be available with a benefits counselor who will answer questions and complete your enrollment for you.

Immediately upon transition. Once actively employed, your profile will be initiated via file feed from UKG to Fidelity, and you will receive a Welcome email with instructions needed to enroll. Enrollments are sent via weekly file feed from Fidelity to UKG which update your payroll deductions.

Exclusion: PRN employees (defined as “as needed employee” who do not work a regular schedule) may not be eligible to participate (pending total hours worked in the past two years).

A Vesting Schedule applies to Employer Contributions only. You are always 100% vested in your personal 401(k) and Roth deferrals and their earnings.
Employer Contributions are allocated to a separate account, and with each year of service of 1000+ hours worked, you are entitled to 20% of that account each year. You will be 100% vested in the employer contribution account after 6 years of qualified service. If you terminate employment prior to 6 years, you are entitled to the percentage of that account per the vesting schedule:
Yes, your original OrthoCarolina (or previously acquired practice seniority date) will be recognized for purposes of vesting for PT Solutions employer contributions. You are always 100% vested in your contributions and earnings on those contributions, regardless of seniority.
Yes. Rollover instructions will be provided once you have an active PT Solutions / Fidelity account.
OrthoCarolina will submit the 2024 plan year’s Profit Sharing contribution to your Vanguard account in Q1 2025.
Prior loans may either be paid in full or may be rolled over with continued payroll deducted loan payments in the PT Solutions payroll.

Your current OrthoCarolina Paid Time Off policy and accruals (including rollover and payment upon termination) will be maintained by PT Solutions.
If currently eligible under OrthoCarolina Paid Time Off policy, you will continue to be eligible for the same policy with PT Solutions. Your remaining PTO balance after the final 2/14/2025 payroll will roll over to PT Solutions.
If eligible under OrthoCarolina PTO policy, you will also be eligible for the PT Solutions Extended Illness Bank (EIB) plan. PT Solutions contributes 2.05 hours per pay period to EIB, which may be used as paid time for any FML eligible leave of absence (including maternity, paternity, other personal disability, etc.).
Your PTO balance remaining after the final 2/14/2025 payroll will roll over to PT Solutions.

Eligible team members receive pay for the observed holiday. Those who work on the holiday receive “Holiday Worked Pay” for hours worked, in addition to Holiday Pay.
Yes, if you are PTO eligible, you are also eligible for the floating holiday. If you have already taken your 2025 OC Personal Holiday, you will be eligible for the PTS floating holiday effective 1/1/2026.
We realize that many of our team members may choose to recognize holidays not included above. To accommodate the needs of our diverse workforce, we offer one 8-hour Floating Holiday which can be used to celebrate a day of your choosing.
Yes. Part-time employees who are currently eligible for holiday pay will continue to be eligible for holiday pay at PTS, if the holiday occurs on a day you otherwise would have worked, at the number of hours you would have been scheduled.
PT Solutions will be honoring OrthoCarolina’s current PTO policy excluding PTO donation. In lieu of PTO Donation, PT Solutions offers a Giving Campaign through UKG. Employees are able to make one-time deductions or reoccurring deductions from their payroll checks to donate to employees who are in need. For example, we recently set-up a campaign for our employees effected by both Hurricane Helene and Hurricane Milton.
If facility is closed: Full-time hourly staff will receive 4 hours of base pay for the date (Closure Pay). Salaried exempt employees receive their regular salary for the week (ie, 8 hours are still paid for the day). There is no annual limit for Closure Pay hours.
If facility is open: If an employee elects not to report, but the facility is open, the employee may choose to use accrued PTO, or not be paid for missed hours.

Tasks to be completed in November
Your payroll schedule will remain bi-weekly with 26 bi-weekly payrolls every other Friday.
OrthoCarolina Payrolls:
Your last full OC paycheck will be paid on January 31, 2025 for pay through January 26, including normal benefit deductions.
A final prorated OC paycheck will be paid on February 14, 2025 covering your last 4 days of employment, January 27 – 30, 2025. Benefit deductions will be withheld on a prorated basis for these 4 days of coverage.
PT Solutions Payrolls:
*Special benefit deductions note: PT Solutions withholds benefits deductions on a “current” basis, withholding 50% on the first payroll and 50% on the second payroll of the month for that month’s coverage. Your benefits will be effective on 1/31/2025, however there will be only one payroll (2/21) to withhold deductions for the month. To minimize budget concerns that would be created by doubling your deductions on the 2/21payroll, retro deductions due for 1/31 – 2/14 will be split and deducted equally over your first two checks (in addition to your normal deductions), resulting in 1.5x deductions from your 2/21 and 3/7 checks. Normal benefit deductions will resume on the 3/21/2025 payroll.
First PTS payroll: Paid on February 21, 2025. You will receive 2 paychecks:
Second PTS Payroll: On March 7, 2025, you will receive a full paycheck for February 17 – March 2, 2025. Benefits deductions will include the 50% remaining for the first half of February as well as your normal benefit deductions (i.e., covering the first half of March).

Will hourly employees who work February 1 – 2 receive premium pay for working the weekend?
Yes, hours worked Saturday 2/1 – Sunday 2/2 will be paid at a premium rate of 1.5x your normal base rate.

No. There are no benefits deductions withheld on the 3rd payroll of a month, which occurs two months each year.
PT Solutions follows an annual merit process. An employee’s salary is reviewed on an annual basis from either their start date or date of their last pay increase. If you are expecting a merit increase prior to the transition date, you can reach out to your current leader.

The App will prompt you to complete the login process using Microsoft Authenticator.
New employees will be onboarded to Certify / Emburse at their start date and will receive instructions on Certify / Emburse and how to access it through the larger IT welcome communication.
