How to Enroll for Benefits in UKG

  • Step 1

    Log into your UKG account

    Please click on the USER icon on the top left so you can see full menu.

    Click on the Benefits” tab, then on the “Manage My Benefits” option.

    When asked to manage your family members please only include family members you wish to be part of your Benefits Plan.

BENEFITS FAQs

Your current benefits (including 401(k) Plan) will remain in place through 12/31/2023 with no changes to current plans or payroll deductions. You will continue to have deductions withheld for benefit premiums/401(k) deferrals through your current payroll system (ADP) as you do now until the end of 2023.

  • Yes, you may make changes due to a qualified life event using ActivePro’s current life event submission process.

Full time employees (scheduled 30+ hours per week) are eligible for:

  • Medical (Options: 2 PPO plans and 1 HDHP with HSA)
  • Dental (2 Plans)
  • Vision
  • PT Solutions paid $25k Life and AD&D
  • Short term disability (STD)
  • Long-term disability (LTD) *50% of premium paid by PTS

Employees have access to mental health resources through Anthem BCBS, Employee Assistance Program, Live Well, and Head Space.

You will also have access to other internal resources and programs such as professional development, continuing education, and PerkSpot discount program.

Your current ActivePro Vacation and Sick Leave policies will remain in effect through 12/31/2023.

If currently eligible under ActivePro vacation and sick policies, you will have continued eligibility under PT Solutions Paid Time Off policies.

Remaining Sick Leave balance as of 12/31/2023 will roll over to PT Solutions and will be maintained for future qualified sick leave purposes.

Further details will follow soon regarding transition to PT Solutions’ PTO, Sick, and Extended Illness Bank (EIB) plans, effective 1/1/2024.

 

Our Benefits Assistance Center will be available before and during your enrollment period, and at any time in the future for your benefits questions (see contact information under question 8).

During the enrollment period, you will also have access to one-on-one appointments with our enrollment partner, IBTR. IBTR is available to provide support for benefits and enrollment-related questions, and can submit your elections in the UKG/PlanSource system for you, if you choose.

Additional details on the enrollment process and support will be provided in November, prior to the January 1 enrollment period.

Employees enroll online via the UKG/PlanSource system for annual open enrollment, and for any ongoing qualified life event changes that occur throughout the year.

Full details and credentials to access the enrollment system will be provided in November, prior to the January 1 benefits enrollment period.

The PT Solutions 401(k) Plan provides eligibility for all regularly scheduled full-time and part-time status employees (and/or those who are eligible under the ActivePro 401(k) plan) effective January 1, 2024. Further information and separate enrollment instructions will be forthcoming in early December.

The PT Solutions 401(k) Plan document provides for an optional, discretionary Company Match Contribution, which is carefully considered on an annual basis and announced each year at the time of January 1 enrollment communications.

Your benefits will transition to the PT Solutions’ benefit plans effective 1/1/2024, with the enrollment period currently planned for Monday, November 27 – Monday, December 11, 2023. More information will follow, including additional PT Solutions benefit materials and online enrollment instructions.

Your initial effective date on the PT Solutions benefit plans will be 1/1/2024.

Outside of Open Enrollment (July 1 annually), you may make changes to your new PT Solutions benefits elections (or enroll) within 30 days of a qualified life event.

401(k) FAQs

Your ActivePro 401(k) plan will be frozen effective December 31, 2023. This means the plan will no longer accept any contributions after year-end, however you will still be able to manage your investment allocations until the plan is merged as described below.

Your enrollment period is now open! You may submit your enrollment now through December 27, 2023, effective for January 1, 2024.

  • Attain age 21
  • Completion of 45 days of service (i.e., your ActivePro hire date)
  • Exclusion: PRN employees (defined as “as needed employee” who does not work a regular schedule) are not eligible to participate.

The PT Solutions 401(k) plan has discretionary employer match flexibility similar to the ActivePro 401(k) plan, which is considered as part of the budget process annually. Further communications will be forthcoming to you and all PT Solutions employees regarding the 2024 match.

A Vesting Schedule applies to Employer Contributions only. You are always 100% vested in your personal 401(k) and Roth deferrals and their earnings.

Employer Contributions are allocated to a separate account, and with each year of service of 1000+ hours worked, you are entitled to 20% of that account each year. You will be 100% vested in the employer contribution account after 6 years of qualified service. If you terminate employment prior to 6 years, you are entitled to the percentage of that account per the vesting schedule:

Yes, your original ActivePro (or previously acquired practice seniority date) will be recognized for purposes of vesting in any PT Solutions employer contributions. Of course, you are always 100% vested in your contributions and earnings on those contributions, regardless of seniority.

  • The PT Solutions 401(k) plan merger date has not yet been determined but will occur later in 2024.  When confirmed, your account balances will be fully transferred to the PT Solutions 401(k) plan as of the merger process.
  • Please wait for the merger process versus an individual rollover request (either to John Hancock or other outside account).   As an “actively employed” participant, there are only limited opportunities provided by the plan for withdrawals or rollovers while still employed (ie, “in-service withdrawals”).  If you attempt to initiate a withdrawal or rollover as an “actively employed” participant, it will be denied by Vanguard unless it falls into one of these in-service withdrawal exceptions:
    • Age 59 ½
    • Hardship withdrawal
    • Rollover Account balance (ie, funds that were rolled into the Twin Boro plan from another plan or IRA)

The 2023 ActivePro 401(k) match will be paid to eligible participants’ accounts by December 31, 2023.

If you currently have an outstanding ActivePro 401(k) loan(s), you will receive a separate communication addressing your loan(s) by 12/31/2023.

No, the loan feature of the plan will be terminated effective 12/31/2023.

Yes, qualified Hardship Withdrawals (i.e., for purchase of primary residence, medical bills, tuition, etc.) may be processed, per terms of the current plan document. Please contact current plan administrators, Vanessa Hughes or Joe Kelly for assistance.

PAYROLL FAQs

Yes. Currently you are paid semi-monthly on the 1st and 15th of the month (24 pay periods/year). You will transition to PT Solutions’ bi-weekly payroll in January 2024, where you will be paid bi-weekly every other Friday (26 pay periods/year). Your last ADP pay date in 2023 will be accelerated to be paid on December 29, 2023 to capture all but one week of 2023 hours and avoid the need for two issued 2024 W-2’s from each system. Further details follow below.

Your last paycheck in ADP will be on Friday, December 29, 2023. It will cover pay period dates of December 9, 2023 through December 24, 2023 (that normally would have been paid on the Tuesday, January 2, 2024 payroll). The pay date will be accelerated to the Friday prior (December 29, 2023), which will avoid two issued W-2’s for 2024 and align to your new PT Solutions bi-weekly schedule.

For those who are eligible for holiday pay, Christmas Day and New Years Day are automatically populated in your timesheet and paid via UKG. No action is required from you to ensure you receive holiday pay.

Your first PT Solutions UKG paycheck will be Friday, January 12, 2024 two weeks after your final ADP payroll on Friday, December 29, 2023. It will cover the pay dates of December 25, 2023 through January 7, 2024. This will result in 2 weeks between your final ADP paycheck (December 29, 2023) and your first UKG paycheck (January 12, 2024), ensuring you experience no disruption or gap in pay.

A crosswalk of ActivePro (ADP) to PT Solutions (UKG) payroll schedules follows below:

You will need to record time using UKG Time Management starting Tuesday, December 26, 2023. UKG Time Management tutorials for hourly, salaried, and management employees can be found on the HR Transition Resources Microsite in the UKG Training section.

Yes. Your per pay period salary earnings will now be calculated based on 26 pay periods rather than 24, which means that your per pay period earnings will be reduced, however you will have 2 additional payrolls per year. For example, given a salary of $60,000:

  • Current bi-monthly: $2,500.00 per pay period, 24 pay periods/year
  • PT Solutions bi-weekly: $2,307.69 per pay period, 26 pay period/year

Please note that in both cases, the gross salary paid to you for the calendar year is $60,000 (i.e., the annual wages are not impacted by the pay calendar).

No. There are no benefits deductions withheld on the 3rd payroll of a month, which occurs two months each year.

You will continue to have access to the ADP portal where you can access pay information, including W-2s, for 3 years.

TIMEOFF FAQs

If you are currently eligible for Vacation + Sick policy with ActivePro, your
current annual days off (and the way they increase throughout your
tenure) will be preserved.

The total allotted time off (vacation days + sick days) will be converted to Paid Time Off (PTO) days + 1 Floating Holiday.

Your new Paid time Off (PTO) hours can be used for a variety of reasons such as vacation, personal appointments, personal, or family illness. We think you’ll be excited for this change, as you will have greater flexibility in both planning and taking time off going forward!

Some examples follow below:

Please note, time off will no longer be front-loaded at the beginning of the year. Your PTO will accrue each pay period based on your accrual rate and hours paid in the period (up to 80), with ability to “borrow” up to 40 hours of PTO in excess of your accrued PTO balance (i.e., have a negative PTO balance), with manager approval.

Your length of service determines the rate at which you will accrue PTO, as outlined in the table below. Associates become eligible for an increased accrual rate on the first day of the pay period in which their employment anniversary falls.

NOTE: Because PTO is earned based upon hours paid, full-time employees with
less than 80 hours per pay period will earn PTO hours on a pro-rated basis
(accrual rate x hours worked).

For example:

A fulltime administrative staff employee employed for 2 years reports 75 hours in a pay period – – their accrual for that pay period would be 75 hrs. x .0539 = 4.042 hours.

The next pay period the same employee reports 80 hours – – their accrual for that pay period would be 80 hrs. x .0539 = 4.312 hours.

Additionally, employees who are PTO eligible will also be eligible for the PT Solutions Extended Illness Bank (EIB) benefit. The EIB is a company sponsored plan designed to provide pay during FMLA-qualified leaves of absence for eligible employees. EIB can be used for your own personal illness, newborn bonding, or for care of an immediate family member, and other leaves eligible under provisions of the Family and Medical Leave Act (FMLA).

  • The company contributes 2.05 hours per pay period to EIB on your behalf.
  • EIB time may be used after 5 consecutive days of absence, and upon receipt of medical certification (in accordance with Family and Medical Leave Act procedures). PTO may be used for the first 5 days of absence, or unpaid, if preferred or if PTO is not available.
  • The maximum EIB bank is 160 Hours (20 days), which will be fully funded in 3 years by company contributions (even sooner with unused PTO hour transfers).

UKG had a temporary Prior Year Sick Leave code for folks to enter on the first payroll; however, any remaining unused hours from your ActivePro Sick plan was rolled into your new EIB plan. Going forward, any unused PTS PTO balance at year-end will be rolled over into your EIB balance.

If you are Part-time status and are currently eligible for sick time only with ActivePro (and not eligible for vacation), you will accrue one hour of sick time for every 30 hours worked, on a per pay period basis. Sick time will not be front loaded. Any unused 2023 ActivePro Sick hours were rolled over into your new Sick Plan effective 1/1/2024.

The following holidays are observed each year:

  • New Year’s Day
  • Memorial Day
  • Independence Day
  • Labor Day
  • Thanksgiving Day
  • Christmas Day

Eligible team members receive pay for the observed holiday. Those who work on the holiday receive “Holiday Worked Pay” for hours worked, in addition to Holiday Pay.

I’m a part-time clinician currently eligible for holiday pay. Will I continue to be eligible at PTS?

Expense Management Platform - Certify

Expense Management

As your new expense management platform, all out of pocket and travel expenses will now be submitted via Certify.

You will receive your Certify login via a welcome email that provides additional information and login instructions. Upon logging into the system, please submit any new expenses that need to be reimbursed and note that you will not have to resubmit any previous expenses that were done via legacy processes.

Beginning in February, cash and check will no longer be accepted in the clinics and petty cash will no longer be kept on hand.

ORDERING OFFICE SUPPLIES

We are pleased to announce the transition to a new office supplies provider and ordering protocol utilizing PT Solutions’ national provider, Staples Advantage.

Starting February 15, 2024, all clinics will begin to order office supplies using only Staples Advantage according to the “Order Procedures and Guidelines”. As you get started placing orders, please reach out to purchasing@ptsolutions.com for any additional support needed beyond the direction provided in the FAQ and guidelines

On January 1, 2024, PT Solutions transitioned to an in-house model, retiring Cushman Wakefield as our provider. Requests will be handled through our new internal platform, Fresh Service, creating a unified and efficient process.

1. New Platform: We will now utilize our in-house platform, Fresh Service, for all Facilities and Equipment requests. This unified system provides a single location to submit and track requests, improving efficiency and communication.

2. Equipment Integration: Equipment requests will now be handled as part of Facilities Management. Both Facilities and Equipment needs will exist within the same platform, creating a cohesive process for managing property and equipment matters.

3. Regional Support: All property and facilities matters will be overseen by your Regional Senior Property Manager. They will serve as your primary point of contact for support and guidance.

Unless you already heard from your leadership team about a role change, there will be no changes to your role or title at this time.

Your daily tasks and focus on patient care will continue. That said, we understand even the smallest change is not easy and can cause a sense of uncertainty. To address that, we are investing in resources committed to helping you through this transition. Prior to any changes in your areas, we will ensure that you have the information and background you need about the change.

There will be no changes to your compensation or benefits through the end of 2023. We are excited to offer you the PTS benefits package starting January 1, 2024, which compares with your existing benefits. More information regarding the enrollment process and highlights of the PTS benefit offering will be provided in the coming months.

Yes. Any unused vacation and sick hours from 2023 were rolled over to your new sick plans (EIB for full-time and Sick State for part-time).

Yes. PTS recognizes those days previously requested. We will work with employees on how to establish any future requests after 2023.

This should be an extremely exciting time for everyone at ActivePro and its partner organizations. Joining PTS will mean access to several new opportunities in education, career development and clinical training advancement.

ActivePro and its partners will also now be able to deliver care to hospital patients through the many partnerships PTS Solutions has across the country. The ability to provide best in class care to as many patients as possible has never been greater.

Each brand within the family of Active Pro brands will continue to operate business as usual at this time. You will continue to use your existing brand collateral, email, and materials.

You will begin to receive PT Solutions companywide emails to your existing email address around the second week of October. Later, your existing email address will then be merged with a PT Solutions account allowing you to share calendars, collaborate via teams, and communicate effectively with your new team members while still maintaining your current email address. You will continue to send and receive emails on your current email address moving forward.

Many questions can be answered by visiting the HR Transition Resources Microsite for additional information. You can even submit a question on the site itself! If you need additional assistance, please reach out to hr@ptsolutions.com.

No changes to terms of employment were made in connection with the migration from ADP to UKG. You may see changes to how your data appears on your paystub. For example, full-time employees will see a reference to 40 hours of work which does not specify clinically scheduled hours. There are no changes to the scheduling process for clinicians.

You can send PTS your Jury Duty Summons via email at hr@ptsolutions.com. You can request Jury Duty pay via time management, which you will be trained on in December. PTS does not provide letters regarding requests for jury duty excuses.

ActivePro continuing education programs will continue for 2024.
